During the implementation phase, training your project and field teams to use a WMS is a project within a project.

So how can you gradually increase the skills of your teams in a WMS?

How can you make them adhere more easily to the use of the WMS?

How can you understand the concepts behind a WMS to better master them and be autonomous?

How are your teams adapted to your logistics processes?

What posture does the trainer have and what conditions should he or she put in place to ensure that the training is as effective as possible and that everyone is ready to go on D-day?

 

At SITACI, we have long recognized that the quality of training is a key element in the success of a WMS implementation. We consider that conducting these training sessions is a job in its own right!

Moreover, SITACI is Qualiopi certified, a mark that guarantees the quality of our training.

Indeed, too often training on a computer tool is done “on the job” or too theoretical (not enough applied in any case), with little support to refer to (especially when you are alone with the software).

What could be more destabilizing for a team of future users than learning “on the job” how to use a computer tool!

A – Progressiveness in the acquisition of skills

For us, it is important that the discovery of the tool is done progressively.

At SITACI, a presentation of the WMS in light configuration is made during the study and adaptation phases. Thus, a first contribution of knowledge is made by practice on a base called “School” allowing to apprehend the concepts and the rules of management which hide behind any WMS.

  • The mastery of these concepts is essential to transpose well the functioning of the processes of its warehouse with the use of a WMS, but also to be a proactive force when it will be a question of making it inevitably evolve with the development of the company.

Then, when a model of our EGO WMS is configured and delivered in your company’s colors, new training sequences provide even more concrete information, allowing you to project yourself into the future organization and to clarify “who will do what” on a daily basis.

During these downstream phases of the training, you also take advantage of the opportunity to establish your operating procedures and to determine who will be authorized (or not) to use the WMS functionalities. All of these elements will make it easier to train all of the future users in a process-oriented way.

 

Here is how the training and skills development of your teams is integrated into the different phases of the implementation of the EGO WMS:

1 – During the Study Phase: we have chosen, even before the studies have begun, to present our WMS in a so-called “School” version, generic and simplified. This allows us to gradually introduce future users to the “vocabulary” of the EGO WMS and to begin to open up the fields of possibility in relation to the standard version of the WMS.

2 – During the Solution Practice Phase: This involves practicing all the logistics flow scenarios that may arise in your warehouse, and for which the WMS has been configured. The training sequences will allow the project team (“the 1st circle”) and the Key Users (“the 2nd circle”) to practice the solution independently, using the standard recipe books provided by SITACI.

3 – During the Deployment and Start-up Phases: The training of the end users (the “End Users”) is carried out by the Key Users or the project team directly, based on the operating procedures developed in the phase above.

B – A defined training framework

We attach a lot of importance to the conditions in which our trainings will be given within your company, what we call the “living environment”.

 

How do we set up this environment?

 

This includes the following actions and principles (extracts):

Participants’ needs : Ask the participants, during a round table discussion, what they need to be comfortable during a training session and what their expectations are.

Non-judgment: “The wrong question is the one that is not asked”.

Listening: The group, to which the trainer also belongs, is a resource. Everyone can contribute to the building.

Freedom of speech: Participants are free to express themselves with kindness.

Mutual commitment: Training sessions are given in half-day sessions to allow participants to deal with current affairs the rest of the day . During this training time, emails and phone calls should be handled during non-training time or during breaks.

 

How do we make this framework evolve during the WMS implementation phases?

In case of difficulty or in view of a successful action, the framework can be modified, amended, completed in the view of all.

 

The goal is to continue to :

  • Create a favorable climate to trust and sharing,
  • To situate one’s individual contribution in a collective,
  • To give freedom of speech to the group at a very early stage,
  • Establish the autonomy and responsibility of all.

C – A secure quality training process

The administrative and quality follow-up of a training course can quickly turn out to be time-consuming if it is not mastered, in particular to provide the elements requested by your OPCO. Moreover, SITACI is QUALIOPI certified and therefore respects the framework imposed on all training organizations.

 

How do we ensure the quality of the training provided?

Without this being exhaustive, here are our actions:

BEFORE THE TRAINING: we prepare the training agreements, training programs, attendance sheets, explanatory emails to participants (with documentation), and invitations,

DURING THE TRAINING: we define the “living environment” (collection of needs), we make sure that the attendance sheets are signed, and that the trainees are positioned at the beginning of the training,

AFTER THE TRAINING: we send an evaluation questionnaire, a post-module or post-training evaluation email, and we make sure that the attendance sheets and the trainer’s appreciations of the course are returned,

GENERAL FOLLOW-UP OF THE TRAINING: we validate the completeness of the attendance sheets, produce the attendance certificates, collect your evaluations, exchange with you on the necessary elements for the good OPCO coverage…
